I have a HAF code…now what?

Your child’s HAF code is valid for the academic year (2024/25) so can be used to book activities listed as part of Winter HAF (4 sessions maximum), Spring HAF (4 sessions maximum) and/or Summer HAF (16 sessions maximum). Keep the confirmation email you’ve received from us confirming your child’s HAF code as proof of eligibility for the programme when booking sessions.

Listings go live online around 1 month prior to the beginning of each HAF holiday period. You can book directly with your chosen provider(s).


Booking activities

Always contact providers directly. Some of our HAF providers have their own online booking system, whilst some will accept bookings via email/phone.

You can book with one, or several providers. Please ensure, however, that you do not exceed your maximum allocation of 4 sessions during Winter HAF, 4 sessions during Spring HAF and/or up to 16 sessions during Summer HAF per valid HAF code.

Booking early

If you have booked onto a HAF activity in a previous period and would like to book again on the same activity you will still have to wait until the listings go live as the provider may not be funded for every delivery period.

Activities outside of Warwickshire

You will not be able to use your Warwickshire HAF code to book sessions outside of Warwickshire. You can, however, contact the HAF team for the local authority within which you are attempting to make bookings. They may be able to provide you with a code to use to book sessions if you can provide your Warwickshire HAF code as proof of eligibility for the programme. This is not guaranteed and may vary by local authority.

Booking with a non-Warwickshire HAF code

Non-Warwickshire HAF codes are not valid for making bookings with Warwickshire providers. However, you can be issued with a Warwickshire code and then proceed with bookings. Please email hafprogramme@warwickshire.gov.uk with proof of your eligibility for the programme (letter confirming free school meal status and/or your HAF code from your school’s local authority). Send this alongside your child’s full name and date of birth and then we will provide further guidance.

Choosing a provider

You can use the information contained on our listing details and/or materials provided by the provider directly to decide which HAF activities you’re interested in booking for your child(ren). A variety of activities are available, so please consider your child’s interests, your location, your ability to drop off and collect and the dates of delivery. Please do not book activities you do not intend to attend.

Deposits

Some providers may ask for a nominal fee; however, this is not a policy of the Warwickshire HAF programme and we do not endorse this practise. HAF is a funded programme intended to support families in receipt of benefits-tested free school meals.

Early drop off/late pick up charges

Some providers may ask for a nominal fee; however, this is not a policy of the Warwickshire HAF programme and we do not endorse this practise. Non-attendance

The Warwickshire HAF programme still covers a provider’s costs when a booking is made and not attended. Therefore, although you are not charged for non-attendance, the HAF programme is. This can have a significant impact on our budget and programme sustainability. Non-attendance also prevents another young person benefiting from the place.

Attending as a parent/carer

The majority of HAF sessions are not attended by parents/carers. However, if this is something which is required for your young person to attend, please speak with providers to establish whether this would be possible. Cancellations 

Please contact providers as soon as possible if you are not able to attend booked sessions. If you do not attend 2 or more sessions, without making any contact with the provider, your remaining sessions will be cancelled. Repeated non-attendance to booked sessions may result in the associated HAF code being made invalid for future delivery periods.

Why are there less activities in my area?

Our programme is comprised of activity providers across Warwickshire. Unfortunately, there can be gaps in provision due to there being a lack of suitable activities/providers in certain areas. We are actively trying to reduce the impact of this.
